NCG Event Health & Safety Protocols

Please read before attending any in-person NCG events. 

Northern California Grantmakers (NCG) is committed to implementing appropriate policies and taking necessary actions to create a safe and comfortable meeting environment, and to the extent possible, protect the health of everyone who attends or participates in our programming and conferences.

NCG has adopted the following health and safety protocols and reserves the right to implement additional measures to support a successful gathering and safeguard the health and safety of all individuals. NCG's COVID-19 Health and Safety Protocols apply to every person attending or participating in our events, including but not limited to, registered and unregistered attendees, speakers, and NCG staff, consultants, and volunteers. NCG reserves the right to prohibit entry to any individual who fails to abide by these protocols, including providing required documentation.


Requirements & Safety Protocols 

In-Person Event Requirements

NCG requires that every person attending or participating in events be fully vaccinated against COVID-19 and its variants. All attendees must be optimally vaccinated with the initial booster recommended by the FDA and Centers for Disease Control and Prevention (CDC). The Bivalent booster is strongly recommended but not required. Proof of vaccinations must be provided. An individual is considered fully vaccinated 14 days after receiving the final dose, as recommended by the manufacturer, of a vaccine that has been authorized by the FDA for use in the United States or by the World Health Organization. 

Attendees must submit their vaccination information online. You can find step-by-step instructions below.   

Exemptions

NCG will waive its vaccination requirements, including recommended boosters, for religious and medical reasons. An individual requesting an exemption can submit a negative COVID-19 test within 24 hours of the event, which will be required in place of a vaccine in limited instances. Rapid, PCR, and at-home tests are accepted.

Vaccination Submission

Attendees and participants must show proof of vaccination. You ONLY need to submit your vaccination information ONCE. After you've been approved, you are ready for ALL other in-person NCG events! Follow the steps below to submit your proof of vaccination. 

CrowdPass may take up to 24 hours to verify your vaccination information. We recommend submitting your information a day before the event.

  1. Visit NCG's event platform CrowdPass (link below). CrowdPass is NCG's verified platform partner providing private, secure submissions. 
  2. Submit vaccination records online: You can submit your vaccination information any time before the event. NCG will not retain copies of vaccination records.
  3. Have your confirmation email ready: Once your vaccination status has been approved, you will receive a confirmation email from CrowdPass. NCG will be confirming submission upon arrival. Be prepared to show this confirmation email as a backup.

Exemption Submission

If you have a religious or medical exemption a negative COVID-19 test will be required to attend. Contact registrar@ncg.org to talk through the steps of sharing negative test results prior to the event.

Issues Submitting Online?

Feel free to contact the NCG team at registrar@ncg.org if you have issues or questions. If you are unable to submit online, be prepared to bring a photo, digital, or physical copy of your vaccination information/negative test results to be admitted into the event.

Additional In-Person Event Precautions and Recommendations

Face Coverings/Mask Recommendation: For indoor and outdoor events, NCG does not require but strongly recommends that every person at the event (attendees, speakers, vendors) wears a mask over the mouth and nose during all event activities. 

Physical Distancing: Attendees and participants are encouraged to make every effort to abide by physical (also known as social) distancing practices by staying at least six feet from others when possible and avoiding congregating in large groups. NCG reserves the right to cap attendance at events to permit adequate physical distancing.

Federal, State, and Local COVID-19 Guidance: In addition, every person attending or participating in NCG events must comply with any applicable CDC, State of California, or county COVID-19 mandates and guidance. NCG’s Protocols may be more stringent and in effect at the time of the event.

Duty to Self-Monitor and Care for Others: The COVID-19 pandemic is an unpredictable and rapidly evolving situation. You should become familiar with, and monitor for, signs and symptoms of COVID-19 and its variants. Common symptoms include but are not limited to:

  • Fever or chills
  • Cough
  • Shortness of breath or difficulty breathing
  • Muscle or body aches
  • New loss of taste or smell
  • Sore throat
  • Congestion or runny nose
  • Nausea or vomiting
  • Diarrhea

No person may participate in NCG events if they become ill or exhibit any signs and symptoms of COVID-19. NCG reserves the right to refuse entry to any participants who exhibit any symptoms of illness or who refuse to present any required documentation.

While NCG will strive to safeguard the health and safety of all those involved in NCG events and will make every reasonable effort to mitigate the possible exposure to COVID-19 and its variants during events, NCG cannot guarantee that attendees and participants will not be exposed to, or become sick from exposure to, COVID-19 or its variants. 

Please contact NCG immediately at registrar@ncg.org if you experience any signs and symptoms of COVID-19 during or within five days after an event. Upon receipt of notification of possible exposure to, or illness from COVID-19 and its variants, NCG will notify all individuals who participated in the event as soon as possible via their preferred email address listed on the event registration form or service contracts. The identity or other medical information of the attendee will be kept anonymous. NCG will encourage everyone to consult with a physician and follow CDC guidance regarding testing, self-care, and quarantining.

When registering for NCG events, attendees and participants must agree that they will knowingly and voluntarily:

  • Accept and agree to comply with NCG’s COVID-19 Health and Safety Protocols and any applicable CDC, State of California, or county COVID-19 mandates and guidance that are more stringent than NCG’s Protocols and in effect at the time of the event.
  • Acknowledge and assume any risks and dangers associated with possible exposure to, or illness from COVID-19 and its variants while attending or participating in the event.
  • To the fullest extent permissible by law or in equity, waive and discharge any and all liability, claims, and demands of whatever kind or nature against NCG and its affiliated partners, vendors, and sponsors, including without limitation, their directors, officers, employees, volunteers, and agents, including but not limited to illness, bodily injury, or other economic loss, which arise or may hereafter arise from attendance or participant at an event.
